How to Automate Birthday and Work Anniversary Gift Cards for Employees

Written by Team Giftronaut | Sep 2, 2026

Birthday and work-anniversary gift cards can be automated without turning recognition into a generic transaction. The most reliable setup combines an accurate employee-date source, a recurring trigger, recipient choice, a personalized message, and an exception process for employee changes or failed delivery.

Can birthday and anniversary gift cards be automated?

Yes. Giftronaut supports recurring milestone workflows through Smart Orders, while Zapier and the Gift Card API can trigger rewards from HR, CRM, spreadsheet, or internal-system events.

Use a Smart Order when the program follows a recurring date and can be managed directly in the rewards platform. Use Zapier when the employee event already lives in a connected application and the team wants a no-code workflow. Use the API when engineering needs custom approval logic, higher volume, or deeper integration with an HRIS or internal system.

Design the workflow before choosing the automation method

An automated reward should begin with a trustworthy source record. Decide which system owns the employee’s birthday, hire date, preferred name, work email, country, and eligibility status.

The workflow should answer five questions:

  • What event creates the reward?
  • How far before the date is the recipient list finalized?
  • Who approves the amount and funding?
  • What happens when employee data changes?
  • Who reviews failed or bounced delivery?

Automation removes repetitive work, but it does not replace ownership of the employee data or reward policy.

Choose the right reward experience

A Giftronaut Choice Card lets each employee choose an eligible brand from the catalog available to them. That is useful for remote or international teams where preferences and local availability differ.

A specific branded card can fit a program with a tightly defined merchant or experience. Verify the employee’s country and the card’s currency before using one branded option across a distributed workforce.

Personalization should stay part of the automated flow. Add the employee’s preferred name, the milestone, a sender name, and a message that explains why the company is recognizing them. A scheduled reward with no context can feel like a system notification rather than appreciation.

Smart Order, Zapier, or API?

Smart Order

Use Smart Orders for recurring sends such as birthdays, work anniversaries, onboarding milestones, or regular recognition dates. Configure the trigger date, reward value, message, and eligible product once, then review the scheduled queue as part of the HR operating rhythm.

Zapier

Use Zapier when the trigger starts in a connected tool. A milestone recorded in an HR spreadsheet, CRM, or another Zapier-supported application can initiate the reward without custom code. Include an approval or eligibility step when company policy requires human review.

Gift Card API

Use the API when your organization needs custom business rules, direct order placement, webhooks, and its own audit trail. The orders API supports immediate and scheduled delivery and includes an idempotency key for safer order creation.

Launch checklist

  1. Name the system that owns employee milestone dates.
  2. Define eligibility, amount, and approval rules.
  3. Select Choice Card or an approved branded card.
  4. Create separate message templates for birthdays and anniversaries.
  5. Test with internal recipients in each important country.
  6. Add duplicate prevention and a final eligibility check.
  7. Confirm funding before the scheduled send window.
  8. Monitor delivered and bounced emails.
  9. Correct recipient data and resend when required.
  10. Review the program quarterly for stale dates, departed employees, and policy changes.

What about unredeemed rewards?

Automation and unredeemed-value recovery are separate settings. Eligible orders can use Giftronaut’s Refund Option, with the account credit determined by the redemption window selected at checkout. Confirm the applicable terms before treating unredeemed value as part of the program budget.

Automate the administration, preserve the recognition

The strongest milestone program makes delivery dependable without making the message impersonal. Start with clean employee data, choose the appropriate automation method, keep an approval and exception path, and let the recipient receive a reward that fits their location and preferences.
