After making an ACH or wire transfer for Giftronaut gift cards, finance should email funding@giftronaut.com with the company name, funding amount, reference account number, and invoice number. Sending that message and seeing a posted balance are separate steps. The reward team should confirm sufficient available funds before placing an order.
Giftronaut does not withdraw money directly from a customer's bank account. Your organization initiates an ACH or wire transfer through its bank. An internal instruction to make a payment, a bank confirmation that it was sent, and an updated Giftronaut balance describe different events.
That distinction matters when finance and the employee rewards team have different responsibilities. Finance may finish its bank action while a campaign owner is still waiting to place a holiday gift card order. A useful handoff names the event that occurred instead of saying only that the campaign is funded.
For example, “the bank transfer was sent” describes the finance action. “The Giftronaut balance has been updated” describes a later account event. Neither phrase should be substituted for the other in a campaign checklist.
A Giftronaut ACH or wire funding request requires a Remitter Name: the name that will appear on the bank transfer. This field is mandatory on the first funding request.
Use the name associated with the actual transfer rather than inventing a label for the holiday campaign. If the finance contact and the campaign owner are different people, ask them to agree on that identifying information before treating the request as ready.
This is an organizational check, not a separate Giftronaut approval feature. The product information does not specify a special reference format, a required attachment, or an automatic matching rule. Avoid adding any of those assumptions to your instructions.
Giftronaut's funding guidance asks customers to email funding@giftronaut.com after sending an ACH or wire transfer. Include these four items:
| Detail | What finance should provide |
|---|---|
| Company name | The organization associated with the payment |
| Funding amount | The amount of the transfer |
| Reference account number | The reference account number associated with the funding request |
| Invoice number | The invoice number associated with the request |
A short message is easier for the next person to check than a general statement that a payment was made. Keep each identifier on its own line and check it against your own request records.
The table is a writing aid. It does not establish an additional upload requirement or a guarantee about how quickly Giftronaut will identify a payment.
A team could use the following wording, replacing every placeholder with its own verified details:
We have sent an ACH or wire transfer for [company name]. The funding amount is [amount]. The reference account number is [reference account number], and the invoice number is [invoice number].
Use your organization's normal handling rules for payment information. This example does not ask anyone to share bank login details or credentials. It also makes no claim that a particular email subject or message format is required by Giftronaut.
Funds appear as Pending in the Account Balance tab until the payment is received and posted. Once the balance is updated, the account receives an email confirmation and a browser push notification.
All Giftronaut orders are prepaid. The account needs sufficient funds before an order can be placed; Giftronaut does not extend credit or offer post-order invoicing. A finance email therefore supports identification of the payment, but it is not a substitute for checking the account balance.
A practical internal checklist can record who initiated the transfer, who sent the identifying message, and who checked the balance. Those are recommended team responsibilities, not documented native assignment or approval controls.
A clear finance handoff identifies the transfer and preserves the difference between money sent and money posted. Send the four requested details, then confirm sufficient prepaid funds before placing the gift card order.
