Why is a bulk gift card funding request still Pending after finance sends the bank transfer?

Written by Will Johnson | Oct 22, 2026

A Giftronaut funding request stays Pending until the payment is received and posted. A bank transfer confirmation shows that finance has taken a banking step; it does not establish that the Giftronaut balance is available. Check the bank’s actual sending date, the transfer method, and the account balance before placing the bulk gift card order.

TL;DR

  • Creating a funding request and sending a bank transfer are separate actions.
  • Pending funds become available after payment is received and posted.
  • Check the bank’s sending date when reviewing the typical transfer timeframe.
  • Share payment identifiers with funding support; do not send another payment simply to clear Pending.

Four stages to check with finance

Use this handoff table to identify the last confirmed event. It is a suggested team checklist, not a description of additional Giftronaut dashboard statuses.

Stage Evidence to check Responsible person to contact
Funding request created The intended amount and request reference The person preparing the Giftronaut request
Bank transfer initiated Confirmation that finance initiated the payment The finance owner or bank
Bank sent the payment The actual sending date and transfer reference The finance owner or bank
Payment posted to Giftronaut Available account balance and confirmation The account owner; funding support if clarification is needed

A request can exist while the bank payment has not yet been sent. Giftronaut does not withdraw funds directly from the customer’s bank account: the customer initiates the ACH or wire transfer through their bank. Confirm that action before investigating a delay in receipt.

Count from the bank’s sending date

Giftronaut’s typical availability time is 1–2 business days for a wire transfer and 2–5 business days for ACH, starting when the customer’s bank sends the payment. These are typical windows, not guaranteed arrival deadlines.

Suppose a team prepares its request on Friday but finance’s bank sends the payment on Monday. This fictional example has two different dates. The request date should not replace the bank’s sending date when the team reviews the expected timing.

Ask finance which event its confirmation establishes. An internal approval, an instruction submitted to the bank, and a bank confirmation of sending should not all be recorded as the same event. Where the confirmation is unclear, the bank is the appropriate source for the bank-side status.

For the funding process, see ACH/Wire payments.

Send the payment details once they are available

After sending an ACH or wire transfer, email funding@giftronaut.com with the company name, funding amount, reference account number, and invoice number. Use the actual identifiers for the payment being checked.

Keep the original request and bank transfer connected in your team’s notes. If a colleague takes over the follow-up, they should be able to identify the same payment without guessing from an amount alone. Two campaigns could involve equal amounts; that does not make their payments interchangeable.

If you have already sent the details, refer to that correspondence when following up. Describe what remains unclear, such as whether the payment has been received or whether the available balance has changed. Do not assume a cause that neither the bank nor Giftronaut has confirmed.

Confirm available funds before the reward order

Giftronaut requires the account to be funded before an order can be placed. For a Giftronaut Choice Card campaign, recipients choose their brand at redemption, but the sender still needs funds before ordering. Pending funds should not be treated as available spending capacity. Once the payment is posted and the balance updated, the account receives an email confirmation and a browser push notification.

If a campaign deadline is approaching, give the campaign owner a factual status: the request exists, the bank sent payment on the confirmed date, and the account balance is still Pending. The owner can adjust the campaign plan using those facts. Avoid promising recipients a send time that depends on funds not yet available.

Sending another transfer is a separate financial action. It should not be used as a troubleshooting shortcut without finance confirming what happened to the first payment. Likewise, changing a local spreadsheet label does not change the available Giftronaut balance.

Conclusion

Resolve a Pending funding question by locating the last confirmed stage. Verify the bank’s sending date, provide the payment details to funding support, and check the posted balance before ordering. Keep the original payment reference throughout the handoff so everyone investigates the same transfer.

FAQ

Does creating a funding request send the bank payment?

Giftronaut does not withdraw the funds directly from your bank. Finance must initiate the ACH or wire transfer.

Does a bank confirmation prove the reward budget is available?

A bank confirmation alone does not establish the available Giftronaut balance. Check the account after the payment is posted.

Which date starts the typical transfer timeframe?

Use the date the customer’s bank sends the payment. Do not substitute the date the funding request was created.

What details should finance send to funding support?

Provide the company name, funding amount, reference account number, and invoice number. Email those details to funding@giftronaut.com after sending payment.

Should finance send another payment to remove Pending?

First confirm the original payment’s status with the responsible parties. Another transfer is a separate financial action.

How will the account know funds have been posted?

The available balance updates after the payment is posted. The account receives an email confirmation and a browser push notification.
