Hand off an approved holiday gift card roster without redemption links

Hand off an approved holiday gift card roster without redemption links

HR can give finance the approved recipient count, reward amount, USD total, approval reference, and roster version without sharing individual redemption links. The sender keeps the delivery details and handles recipient questions. Finance checks the approved spending and funding readiness. The approach below is a suggested way to coordinate those responsibilities, not an additional Giftronaut product feature.

Give each team a clear responsibility

A holiday campaign involves several decisions that may happen at different times. HR confirms who is eligible and what each person should receive. Finance confirms the amount the organization has approved and how the account will be funded. The person sending the rewards checks the delivery details and places the order.

Those responsibilities can belong to different people even in a small company. Naming them before the campaign prevents a common ambiguity: everyone believes somebody else checked the latest recipient list. A colleague covering an absence should be able to identify the approved version and the person responsible for any unresolved question.

Use the organization’s existing approval and sharing arrangements. There is no need to treat this article as a new policy or assume that Giftronaut automatically enforces the proposed division of work. The goal is to give each person the information needed for their own decision.

Prepare the finance summary

A concise summary can answer the budget questions without reproducing every detail used to send a reward. Adapt these fields to the organization’s requirements.

Item What to provide Decision it supports
Campaign A recognizable campaign name and owner Identifying the approved activity
Recipient count Number of approved recipients Checking the scale of the send
Reward amount Approved amount for each group Checking the planned value
Currency Explicit currency labels Avoiding ambiguous totals
Total Calculated face value and separately identified costs Confirming the required budget
Version The recipient-list version and approval reference Confirming which list was reviewed
Funding Named payer and current funding status Establishing whether ordering can proceed
Follow-up Responsible sender and finance contact Routing questions to the right person

If finance needs recipient-level detail, provide the organization’s approved identifier and the corresponding amount. Add names or contact information only as required by the existing process. Do not assume that removing one column makes the remaining information suitable for unrestricted sharing.

The important distinction is between a budget reference and a way to access a recipient’s reward. Finance can compare the count, amounts, and approval reference without opening the reward experience. After ordering, the relevant order reference can connect the approved spend to the transaction.

Separate approval from available funds

Giftronaut orders are prepaid. The account must have sufficient funds before an order can be placed; Giftronaut does not extend credit or provide post-order invoicing. An approved holiday budget therefore does not, by itself, mean that the sender can place the order immediately.

Giftronaut accounts are funded and maintained in USD, and order totals are displayed in USD. Recipients can still redeem rewards in supported local currencies. Label the budget’s currency explicitly so a finance colleague does not mistake a recipient’s possible redemption currency for the account’s funding currency.

The customer initiates each top-up through the dashboard because Giftronaut does not currently offer automatic account replenishment. Assign that action to a named person. If the available balance is insufficient, tell the campaign owner what remains to be done instead of describing the campaign as ready to send.

Where money needs to move between team members’ accounts, a Super Admin or another admin with the appropriate permissions can make the transfer. Confirm the responsible account owner rather than assuming everyone in HR or finance has that permission.

Use one approved list for the actual order

Before ordering, the sender should compare the list being used with the version finance reviewed. Check the recipient count, reward amounts, campaign reference, and any approved exceptions. A later file with a similar name may contain additions that change the total.

Make the reward format clear as well. On a Giftronaut Choice Card, recipients choose the brand at redemption. On a Branded Gift Card, the sender chooses the brand at order time. Finance can approve the planned spend while that distinction remains part of the campaign brief; it does not need a copy of each recipient’s eventual choice.

If the team changes the reward format or adds recipients before ordering, identify what changed and whether it affects the approved amount. Follow the organization’s approval process for the revised decision. Do not silently reuse an old approval for a different list.

For an order already placed, first establish its current state and the applicable product procedure. A proposed correction is not evidence that the correction has been made. Avoid promising that a completed send can be reversed merely because a spreadsheet can still be edited.

A fictional example with a late addition

Consider a company approving 120 employees for a USD 25 holiday reward each. Its face-value budget is 120 × USD 25 = USD 3,000. These are illustrative numbers, not Giftronaut customer results. Funding charges or other applicable costs, if any, should be identified separately.

HR gives finance the approved count, amount per employee, total, campaign owner, and list version A. Finance confirms the budget and arranges funding. The sender checks that version A is the version ready for ordering.

Before the order is placed, two more employees are approved. The revised count is 122, with a face-value total of USD 3,050. HR labels the revised list version B and highlights the USD 50 change. Finance and the sender can then confirm that they are acting on the same decision.

Suppose a colleague subsequently sends an earlier copy of version A. The sender should resolve which version is approved before using it. The file’s arrival time alone does not establish that it supersedes version B. A clear version reference prevents that uncertainty from becoming a duplicate or incomplete send.

This example demonstrates why the finance summary needs a version and a calculated total. It does not depend on sharing a recipient’s redemption URL, inventing a new platform feature, or changing the company’s eligibility rules.

Route recipient questions to the sender

Giftronaut’s email recipient journey starts with an email from Team Giftronaut. The recipient follows the redemption link, confirms their email through a one-time verification step, and accesses the redemption page. This is separate from finance’s budget review.

If an address needs correcting, the recipient cannot change it themselves. Only the original sender can update the address and resend the reward. Give that sender the relevant identifier and a clear description of the problem through the organization’s approved channel.

Record whether the issue is awaiting action or has been resolved. A request passed to another person should not be marked complete solely because it was forwarded. This distinction helps the campaign owner answer a colleague accurately without circulating screenshots or copying reward information into a broad discussion.

Close the handoff with a factual summary

After the order, compare the actual send with the approved list and amount. Record the relevant order reference, any remaining recipient issues, and who owns the next action. If a discrepancy appears, describe the difference rather than guessing its cause.

Keep the final summary limited to what has been confirmed. Budget approval, available funds, a placed order, and recipient redemption are different events. A completed order does not establish that every employee redeemed, and a redeemed reward does not establish that every accounting question has been resolved.

This separation makes the next campaign easier to review. The team can see where coordination worked and which questions need clearer ownership, without turning a recipient reward into an accounting attachment.

Conclusion

Give finance a clear spending decision: the approved count, amounts, total, version, and funding owner. Give the sender the approved delivery instructions and responsibility for recipient questions. When the list changes, make the change visible before ordering and confirm which version everyone is using.

FAQ

What does finance need to review the reward budget?

Provide approved amounts, recipient count, currency, total, and an approval reference. Include the list version and the responsible contacts.

Does budget approval mean Giftronaut funds are available?

Approval and available balance are separate checks. Giftronaut requires sufficient funds before an order can be placed.

Who chooses the brand on a Choice Card?

The recipient chooses the brand at redemption. With a Branded Gift Card, the sender chooses at order time.

How should HR handle additions before ordering?

Issue a revised list and highlight the changed total. Confirm that finance and the sender use that approved version.

Who can correct a recipient’s delivery email address?

The original sender can update the address and resend the reward. Recipients cannot change the address themselves.

What belongs in the final campaign summary?

Record the order reference, confirmed amount, and unresolved issues with their owners. Keep approval, funding, ordering, and redemption status distinct.
