Funding-request voids, order cancellations, and the Giftronaut Refund Option

Funding-request voids, order cancellations, and the Giftronaut Refund Option

A funding-request void, an order cancellation, and Giftronaut's Refund Option apply at different stages. First identify whether you are changing a funding request, an unsent scheduled order, or a fulfilled reward. Then check the relevant rule before taking action; these are not interchangeable ways to undo a holiday campaign.

Start with the object and its state

A campaign may involve a bank payment, account funding, a scheduled send, and recipients redeeming rewards. People can use the word “cancel” for all of these, even though the requested change concerns a different object each time.

Before asking a colleague to act, describe the object and its current state. “This funding request is wrong” is different from “this scheduled order has not been sent” or “these recipients have not redeemed.” Keep the wording tied to the specific issue.

The table below provides a starting point. It does not replace the detailed conditions for a particular account, bank payment, or reward.

Record to identify Question to answer before acting
Funding request Which request needs to change, and what is the bank-payment status?
Scheduled order Has this exact order already been sent?
Fulfilled order What happened to the recipient's reward after sending?
Refund Option selection Was it selected for this order, and which window applies?

Funding requests and bank payments

Giftronaut allows an ACH or wire funding request to be voided directly from the Account Balance tab using “Void Funding Request,” without contacting support. That is the documented action for the request itself.

The published void instruction addresses the funding request. For a transfer already sent, ask the bank about the payment status and available next steps. Giftronaut does not withdraw ACH or wire funds directly from the customer's bank account; the customer initiates the transfer through its bank. A funding-request instruction alone does not answer a bank-payment status question.

For example, a fictional finance team discovers that a planned funding request is no longer needed because the campaign budget changed. Before voiding it, the team checks whether anyone has already initiated the associated bank payment. That check is a sensible coordination step, not a claim that the void action controls the bank.

If the transfer has already been sent, retain the relevant payment details and ask the appropriate bank or Giftronaut contact about the next step. Do not create an expectation of automatic recovery based only on the funding-request control.

Scheduled orders before sending

Giftronaut states that scheduled orders can be canceled as long as they have not yet been sent. The important fact is the order's current state, not merely that someone remembers scheduling it earlier.

A fictional HR team might discover that a holiday recipient list needs further review. If the scheduled order is still unsent, the cancellation rule is relevant. If the send has already occurred, the team must assess the fulfilled-order rules instead.

Use the exact scheduled order when checking eligibility. A broad question such as “can I cancel the gifts?” may omit the important detail that one order is still unsent while another has already been fulfilled.

This article does not promise a grace period after sending or a way to reverse a completed send. Check the live status before deciding which rule applies. If the status is uncertain, resolve that uncertainty rather than assuming the order remains eligible for cancellation.

Fulfilled orders and recipient redemption

Once a Giftronaut order is fulfilled, it cannot be canceled, returned, exchanged, or refunded. This general order rule should not be confused with the separately selected Refund Option for eligible unredeemed rewards.

A fulfilled order can include recipients at different stages. Some may not have redeemed, while others may have confirmed a product selection. Those differences matter for the Refund Option's eligibility; they do not make the fulfilled order into an unsent scheduled order again.

Once a Giftronaut Choice Card is redeemed for a specific brand, that brand's terms apply. Do not tell a recipient that a sender can undo a confirmed brand choice merely because the sender is revising the campaign budget.

If the problem is an incorrect email address or a missing message, identify that delivery issue separately. A request for help with delivery should not automatically be described as a request to cancel the entire campaign. Choose the support conversation that matches the actual problem.

The Refund Option's prerequisites

The Refund Option must be selected when placing the order. It cannot be added or applied retroactively after the order has been sent. A team evaluating an existing campaign should first establish whether the option was selected for that order.

Only fully unredeemed rewards are eligible for reclamation. A reward that has been redeemed, even partially, cannot be reclaimed through this option. Do not estimate eligible value from a casual count of people who have not replied to a message; a reply and a redemption are different events.

When enabled, the option shortens the recipient's redemption deadline to the selected window, which is shown in the reward email. The selected window also determines the return rate. Consult Giftronaut's Refund Option guidance for the detailed percentages rather than assuming a full refund.

Eligible reclaimed funds are added automatically to the available balance when the selected window closes. They appear under the Refund status filter in Account Balance. This is account credit under the option's rules, not a promise of an immediate cash return to the original payment method.

Three illustrative campaign situations

A canceled event before payment

A fictional events team decides not to run its holiday program before its planned bank payment is sent. Finance has prepared an ACH funding request but has not initiated the transfer. The request can be evaluated for the documented void action. The team should record what it changed so another colleague does not later act on the old payment instructions.

A recipient-list change before a scheduled send

A fictional HR coordinator finds that a scheduled list includes employees who should be reviewed before the campaign proceeds. The coordinator checks the current order state. If it is still unsent, the scheduled-order cancellation rule is relevant. Any later replacement campaign is a separate purchase decision.

This example does not establish an automated list-correction or replacement-order feature. It shows why verifying the stage comes before deciding what action to request.

An unused reward after fulfillment

A fictional sender notices that some recipients have not redeemed after a campaign has been fulfilled. The sender checks whether the Refund Option was selected, which window applies, and whether the relevant rewards are fully unredeemed. If the option was not selected at order time, it cannot be added now.

Even where the prerequisites are satisfied, the sender should use the option's actual timing and return rules. “Unused” is not the same as “fully refundable,” and an expected future credit should not be described as funds already returned.

Questions to ask when the state is unclear

If the account or order information leaves you unsure which situation applies, ask about the specific record. For a funding question, identify the request and confirm whether the bank has sent payment. For an order question, ask whether the order remains scheduled and unsent. For a refund question, establish the option selected at purchase and the relevant redemption state.

Keep sensitive bank credentials and redeemable reward codes out of shared messages. A description of the issue should explain the stage and the requested clarification without exposing access information.

A missing reward email also needs a precise description. It may concern an address correction or mailbox filtering rather than the campaign's purchase decision. Ask for guidance on that delivery issue instead of assuming an order cancellation is the appropriate remedy.

Once you receive an answer, check that it concerns the same request or order you were asking about. Related records can have different states. An explanation about one funding request should not be treated as confirmation about every reward in a campaign.

Conclusion

Identify the campaign stage before choosing a remedy. Clear distinctions between payment preparation, sending, and redemption let HR and finance use the applicable Giftronaut rule without promising a reversal that the rule does not provide.

FAQ

Can I add the Refund Option after an order is sent?

The Refund Option must be selected when placing the order. It cannot be added retroactively after sending.

Can a partially redeemed reward qualify for reclamation?

Only fully unredeemed rewards are eligible. Partial redemption makes the reward ineligible for this option.

Where do eligible reclaimed funds appear?

They are added to the available balance when the selected window closes. Use the Refund filter in Account Balance.

Does voiding a funding request confirm a bank-transfer reversal?

The documented action voids the funding request. It does not establish that a bank transfer was reversed.

Can I cancel a scheduled order after it has been sent?

The cancellation rule applies while the scheduled order remains unsent. Fulfilled orders cannot be canceled.
